The IL Teacher Course Assignment report creates a data file for submission to the Illinois State Board of Education (ISBE) SIS.
This report is used to track teacher assignment information for course sections, including which teacher taught the section, the length of time the teacher was assigned to the section, teacher role and position information, teacher course commitment, teacher entry and exit dates, and reason for exit when applicable.
- Co-Teacher Tracking
- Lead Teacher Tracking Override
- Multiple teachers assigned to one section
- Teacher changes during the school year
The Extract Viewer link is available on the State Reports page in the description area for the IL Teacher Course Assignment report and can be used as a troubleshooting tool.
Understand when to run Teacher Entry mode and when to run Teacher Exit mode.
Review Teacher Course Assignment Tracking, Term Grade Mapping, staff state reporting setup, section setup, and state reporting exclusions.
Use report input options, Extract Viewer, teacher tracking records, section-number logic, and calendar dates to troubleshoot missing or incorrect records.
The IL Teacher Course Assignment report has two modes.
Use Teacher Entry to report teacher assignments that began during the selected reporting period.
Use Teacher Exit to report teacher assignments that ended during the selected reporting period.
Selection criteria determine which school, staff, and section records are included in the report.
A school is included when:
- The school is not excluded from state reporting.
A staff member is included when:
- The staff member is not excluded from state reporting.
- The staff member taught the section at any time between the report start and end dates.
A section is included when:
- The section is not excluded from state reporting.
Before running the IL Teacher Course Assignment report, review the required setup.
Teacher Course Assignment Tracking is used when a section has multiple teachers or when teacher assignment details need to be reported differently from the default section teacher setup.
Use Teacher Course Assignment Tracking when:
- More than one teacher is assigned to a section.
- A teacher changed during the year.
- A co-teacher needs to be reported.
- A lead teacher override is needed.
- A non-default Teacher Commitment must be reported.
- A non-default Role of Professional must be reported.
- A Reason for Exit must be reported.
Teacher Course Assignment Tracking is found on the Sections page. If there is only one teacher assigned to the section and the default values are correct, a tracking record may not be needed.
Term Grade Mapping is used to map the district’s PowerSchool terms to the corresponding Illinois state reporting term.
Path: District Office → District Setup → Illinois State Information → Term Grade Mapping
For each school, confirm the correct state term is mapped for the reporting period.
For year-long terms, confirm that term end dates are defined correctly.
The section TermID is translated to the ISBE term through Term Grade Mapping. Incorrect or missing mappings may cause the report to extract the wrong term or omit expected records.
Navigate to the Illinois state reporting area and select:
IL Teacher Course Assignment
Typical navigation may be:
Data and Reporting → Reports → State Reports / Compliance Reports → IL Teacher Course Assignment
Navigation may vary depending on the PowerSchool SIS version and Illinois Compliance plugin version.
If running at the school level, the report includes records associated with the current school that meet the selection criteria.
To change the current school, click the School link at the top of the page and select the appropriate school.
If running the report for a single teacher or a group of teachers, select the teachers before running the report.
Use the grade-level filter to limit section records by grade level.
Leave the grade checkboxes blank to include all sections in the selection process.
If a section is not identified for a specific grade on the Sections page, it may not be included when grade-level filters are selected.
If scheduling the report, enter the date in one of the following formats:
MM/DD/YYYY
MM-DD-YYYY
Example: 07/29/2026 @ 10:05 AM
If this option appears, select the district for which the report should be generated.
Enter the 15-digit RCDTS number. This value is used in the file name and the report header.
Course Number: MAT100
Section Number: 1
Extracted Section Value: MAT1001
Use the same section-number format used in related Illinois reports, such as the IL Course Assignment report, so the submitted section numbers match across reports.
If the Override Section Number field is populated on the Historical Grades page, that value is extracted. If it is blank, the report uses the option selected at runtime.
If No is selected, the data in the Extract Viewer is replaced with the newly generated extract.
The Teacher Entry output reports teachers who entered a section within the selected date range.
The Teacher Course Start Date represents the teacher’s first day of attendance or assignment for the section.
If the date is not an active in-session date, the report evaluates the date and extracts the first in-session date after that date.
The value may come from:
- Override Teacher Course Start Date
- Teacher Course Assignment Tracking Start Date
The Course Position Code identifies the teacher’s role in the course.
The default is:
200 - Teacher
The report may use:
- Override Role of Professional
- Teacher Course Assignment Tracking Role of Professional
- Staff Illinois Role of Professional
- Default value of 200
Teacher to Course Commitment represents the teacher’s commitment to the course during the reporting period.
The value may come from:
- Teacher allocation percentage
- Default value of 1.00
The Teacher Exit output reports teachers who exited a section within the selected date range.
The Teacher Course End Date represents the teacher’s last day of attendance or assignment for the section.
If the date is not an active in-session date, the report evaluates the date and extracts the last in-session date before that date.
The value may come from:
- Override Teacher Course End Date
- Teacher Course Assignment Tracking End Date
The Reason for Exit identifies why the teacher exited the course.
The value may come from:
- Override Reason for Exit
- Teacher Course Assignment Tracking Reason for Exit
- Staff Illinois Reason for Exit
If the value is blank, review the teacher tracking and staff state reporting setup.
Check the following:
- Staff member is not excluded from state reporting.
- Staff member taught the section during the selected date range.
- Section is not excluded from state reporting.
- School is not excluded from state reporting.
- Correct report mode was selected.
- Correct start and end dates were entered.
- Teacher Course Assignment Tracking exists, if needed.
- Teacher was selected if running for selected records only.
Review:
- Section state reporting exclusion setting
- School state reporting exclusion setting
- Section term dates
- Report start and end dates
- Grade-level filter
- Term Grade Mapping
- Teacher assignment or tracking records
If a grade-level filter is used, confirm the section is identified for that grade level on the Sections page.
Confirm:
- The teacher entered the section within the selected report date range.
- Tracking Start Date is correct.
- Override Teacher Course Start Date is correct, if used.
- The start date falls within the section term.
- The section has an in-session date on or after the start date.
Confirm:

Check the Extract Section From option used when running the report.
Also review:
- Section Number
- SectionID
- Course + Section format
- Override Section Number on Historical Grades, if applicable
- Section number format used in IL Course Assignment
Use the same section-number logic across IL Course Assignment and IL Teacher Course Assignment reports.
Review Term Grade Mapping.
The section TermID is translated to the ISBE term through Term Grade Mapping. If the mapping is incorrect or missing, the report may extract the wrong term.
Review:
- Override Role of Professional
- Teacher Course Assignment Tracking Role of Professional
- Staff Illinois Role of Professional
- Default Course Position Code
If the teacher should not report as the default teacher role, use tracking or override fields as appropriate.
Review the teacher’s allocation or commitment value.
If no value is provided, the report may default to:
1.00
Use Teacher Course Assignment Tracking when the teacher’s commitment needs to be reported differently.
For Teacher Exit reporting, review:
- Teacher Course Assignment Tracking Reason for Exit
- Override Reason for Exit
- Staff Illinois Reason for Exit
Populate the correct value where applicable and re-run the report.
- Confirm Term Grade Mapping before running the report.
- Use Teacher Course Assignment Tracking for co-teachers or teacher changes.
- Use consistent section-number extraction across IL Course Assignment and IL Teacher Course Assignment reports.
- Run the report in Teacher Entry mode and Teacher Exit mode as needed.
