PowerSchool SIS: Resolving Incorrect D/F Report Grades for Dropped Classes

Review enrollment dates, current grades, stored grades, teacher gradebook data, and D/F report logic when a dropped student appears with an incorrect D/F report grade.

Overview

A student may appear on a D/F report for a class they no longer attend if PowerSchool still has a current grade, stored grade, or active course enrollment association tied to the original section.

This commonly occurs when a student was enrolled in a class earlier in the year, dropped the section, and later appears with a grade, such as an F, for a later term when they were no longer enrolled in that class.

This article explains how to review the student’s enrollment dates, current grade records, stored grades, and report logic to determine why the student is still appearing on the D/F report.

Primary Goal

Confirm whether the D/F report is reading a valid grade for an active enrollment or an invalid grade tied to a dropped section before making any schedule, gradebook, stored grade, or database-level correction.

Applies To

Use this guide when reviewing dropped classes, current grades, stored grades, or custom D/F report results in PowerSchool SIS.

  • PowerSchool SIS
  • Student schedules
  • Modify Schedule
  • Current Grades
  • Historical Grades / Stored Grades
  • PowerTeacher Pro
  • D/F reports
  • Custom grade reports
  • DDA / Direct Database Access
  • Course enrollment cleanup
Issue

A student was dropped from a class at the end of Q2, but the D/F report is showing a Q4 grade, such as an F, for the dropped class.

Expected Result

The student should not have a Q4 grade tied to that section if they were not enrolled in the class during Q4.

Common Causes

This issue is usually caused by one or more schedule, grade, stored grade, or report logic issues.

  • The student’s section enrollment exit date is incorrect.
  • The student still has an active course enrollment association for the later term.
  • A current grade exists for the dropped section and term.
  • A stored grade was accidentally created for the dropped section and term.
  • The teacher gradebook still has assignments, scores, or grade calculations for the student.
  • The D/F report logic is not filtering by enrollment dates correctly.
  • A custom report is pulling current grades without validating whether the student was enrolled during the reporting term.
Important Clarification About CC and Current Grades

The CC table is primarily used for student course enrollment and schedule records. It is commonly used to determine which student is enrolled in which section and for what dates.

Do Not Delete CC Records Just to Remove a Grade

Do not delete a CC record simply to remove a grade from a D/F report.

If a grade is incorrect, first verify the student’s course enrollment dates, current grade source, stored grades, and report logic before making any database-level changes.

Deleting the wrong CC record can affect several critical areas of the student record.

  • Student schedules
  • Attendance history
  • Class enrollment history
  • Report cards
  • Grade storage
  • Transcripts
  • State reporting
  • Teacher rosters
  • Course enrollment audits
What You Will Learn

This process walks through the main areas to review before correcting records or escalating the issue.

How to verify section enrollment dates

Review the student’s original section entry date, exit date, term, and enrollment status from Modify Schedule.

How to identify invalid current grades

Check whether a Q3 or Q4 current grade exists for the original section after the student exited the class.

How to review gradebook and stored grade sources

Review teacher gradebook calculations and Historical Grades / Stored Grades for invalid grades tied to the dropped section.

How to review D/F report logic and DDA safely

Confirm the report filters by enrollment dates and use DDA only as a controlled troubleshooting or cleanup tool when appropriate.

Recommended Resolution Process

Follow these steps in order to determine why a dropped class is still appearing on the D/F report.

STEP 1
Verify the Student’s Section Enrollment Dates

Go to:

Student Profile → Modify Schedule

Review the original class enrollment.

Check:

  • Course
  • Section
  • Teacher
  • Entry Date
  • Exit Date
  • Term
  • Enrollment status

The exit date should reflect the last day the student was actually enrolled in the section.

If the student left the class at the end of Q2, the exit date should not extend into Q3 or Q4.

Item Expected Result
Entry Date Student’s actual first day in the class.
Exit Date Student’s actual last day in the class or first day no longer active, based on district practice.
Section Original dropped section.
Term Should align with the student’s enrollment period.
What to Look For

If the exit date extends into Q4, the D/F report may still consider the student enrolled in the section.

STEP 2
Check Whether the Student Has a Current Grade for the Dropped Section

Review whether a current Q3 or Q4 grade exists for the original section.

Depending on the district’s PowerSchool setup, current grades may be visible through:

  • Student Quick Lookup
  • Teacher gradebook
  • PowerTeacher Pro final grades
  • Current Grades page, if available
  • Custom SQL report
  • DDA, if access is available
  • Grade-related export, such as PGFinalGrades

Look specifically for:

  • Q3 current grade for the dropped section
  • Q4 current grade for the dropped section
  • A current grade of F
  • A current grade tied to the old SectionID
  • Any current grade record created after the student exited the class
Likely Cause

If a Q4 current grade exists for a section the student did not attend during Q4, that grade is likely causing the student to appear on the D/F report.

STEP 3
Review the Teacher Gradebook

If the student still appears in the teacher’s gradebook or has Q4 grade calculations, review the gradebook setup.

The teacher or gradebook administrator may need to verify:

  • Whether the student still appears on the roster
  • Whether the student has Q4 assignments
  • Whether Q4 scores exist
  • Whether assignments should be exempted
  • Whether the student was included in a final grade calculation after the exit date
  • Whether grades need to be recalculated after the schedule correction
Important

Removing assignments or exempting scores may not fix the D/F report if a current grade record has already been generated and the report is reading that record.

After gradebook corrections, final grades should be recalculated.

STEP 4
Recalculate Final Grades

After correcting enrollment or gradebook data, recalculate final grades.

Depending on the district’s setup, this may be done through:

  • PowerTeacher Pro
  • Teacher gradebook recalculation
  • Admin grade recalculation tools
  • Section-level recalculation
  • Student-level recalculation, if available
Why This Matters

This step is important because the current grade may continue to display until the grade calculation is refreshed.

STEP 5
Verify Historical Grades / Stored Grades

Go to:

Student Profile → Historical Grades

Review whether invalid Q3 or Q4 stored grades exist for the dropped class.

Look for:

  • Q3 stored grade for the dropped section
  • Q4 stored grade for the dropped section
  • Store Code = Q4
  • Grade = F
  • Course number tied to the old class
  • Section number tied to the old section
  • Date stored after the student exited the class

If an invalid stored grade was accidentally created during grade storage, confirm whether it should be deleted or corrected according to district policy.

Do Not Delete Valid Historical Grades

Do not delete a stored grade if the student actually attended the class and earned the grade for that term.

Only remove stored grades that are confirmed to be invalid, such as a Q4 grade for a class the student did not attend during Q4.

STEP 6
Review the D/F Report Logic

If the enrollment dates and grades are correct but the student still appears on the D/F report, the issue may be with the report logic.

Many custom D/F reports pull from current grades but do not properly filter by course enrollment dates.

The report should validate that the student was enrolled in the section during the reporting term.

A custom D/F report should generally include logic that checks:

  • Student was enrolled in the section during the reporting term
  • Course enrollment entry date is on or before the reporting term end date
  • Course enrollment exit date is after the reporting term start date, or blank if active
  • The grade belongs to the same section and reporting term
  • The student was not dropped before the term being reported
Report Logic Warning

If the report does not check enrollment dates, dropped students may continue to appear.

Most Likely Scenario

Based on this type of issue, the most likely scenario is:

  1. The student was enrolled in the original class earlier in the year.
  2. The student dropped the class at or near the end of Q2.
  3. A Q4 current grade was still generated for the dropped section.
  4. The D/F report is reading the Q4 current grade.
  5. The report is not fully excluding the student based on the course enrollment exit date.
Resolution Direction

The resolution is to verify the schedule exit date, remove or recalculate the invalid current grade source, remove any invalid stored grade if one exists, and confirm the report logic properly filters dropped enrollments.

DDA Guidance

Use DDA carefully and only when appropriate for controlled troubleshooting or cleanup.

Use DDA With Caution

DDA should only be used by authorized SIS administrators who understand the affected tables and the impact of deleting or modifying records.

Before Using DDA
  • Export the affected records.
  • Take screenshots of original values.
  • Confirm the student, course, section, term, and grade.
  • Confirm the record is invalid.
  • Document the reason for the change.
  • Include the ticket or request number, if applicable.
Do Not Delete the CC Record to Remove a Grade

The CC record represents the student’s course enrollment. Deleting the CC record may remove or damage the student’s schedule/enrollment history.

Only edit or delete CC records if the course enrollment itself is invalid and the change has been approved.

If the student was legitimately enrolled in the course earlier in the year, the CC record should usually remain with the correct entry and exit dates.

What to Check in DDA

If you need to troubleshoot through DDA, review related data carefully.

Area Purpose
CC Student course enrollment / schedule association.
StoredGrades Historical grades / permanently stored grades.
Grade-related final grade records Current or calculated final grades, depending on PowerSchool setup.
Sections Section setup and term association.
Terms Reporting term setup.
Current Grade Source May Vary

The exact table used for current grade reporting may vary depending on whether the district uses PowerTeacher Pro, custom reports, gradebook exports, or legacy gradebook data.

Safer DDA Review Process

Use this controlled review sequence if DDA is needed for troubleshooting.

DDA STEP 1
Identify the Student and Section

Gather:

  • Student number
  • Student internal ID
  • Course number
  • Section number
  • SectionID
  • Store Code, such as Q4
  • Reporting term
  • Teacher
  • Student’s course entry and exit dates
DDA STEP 2
Review CC for Enrollment Dates

In DDA, review the CC record only to confirm the student’s course enrollment dates.

Check:

  • StudentID
  • SectionID
  • DateEnrolled / Entry Date
  • DateLeft / Exit Date
  • TermID
Recommended Correction Path

If the exit date is wrong, correct the enrollment using the appropriate PowerSchool schedule tools whenever possible instead of directly editing the database.

DDA STEP 3
Review StoredGrades

Search StoredGrades for the student, course, section, and Store Code.

Check:

  • StoreCode
  • Grade
  • Percent
  • Course Number
  • Section Number
  • Date Stored
  • Potential Credit
  • Earned Credit
Confirm Before Removing or Correcting

If an invalid Q4 stored grade exists for a dropped class, remove or correct it only after confirming it is not a valid historical grade.

DDA STEP 4
Review Current Grade Source

If the D/F report pulls from current grades, identify the current grade source used by the report.

This may require reviewing:

  • The custom report SQL
  • Grade-related data tables
  • PowerTeacher Pro final grade records
  • Grade exports
  • The report configuration
Do Not Assume the Grade Is Stored in CC

The report may be reading a current grade source, PowerTeacher Pro final grade record, grade export, stored grade, or custom report data source.

Preferred Fix Before Database Deletion

Before deleting anything through DDA, try the safer correction path.

  1. Correct the student’s course enrollment exit date.
  2. Confirm the student no longer appears in the teacher’s roster for the invalid term.
  3. Correct or remove invalid gradebook assignments/scores if needed.
  4. Recalculate final grades.
  5. Remove invalid stored grades only if they were created incorrectly.
  6. Re-run the D/F report.
  7. Review whether the report logic is correctly filtering by enrollment dates.
Fastest Resolution Checklist

Use this checklist when a dropped student appears on a D/F report.

  1. Verify the student’s original section exit date.
  2. Confirm the student was not enrolled in the section during Q4.
  3. Check Quick Lookup/current grades for a Q4 grade tied to the old section.
  4. Check the teacher gradebook for invalid Q4 assignments or grades.
  5. Recalculate final grades.
  6. Check Historical Grades for invalid Q4 stored grades.
  7. Remove only confirmed invalid stored grades.
  8. Review the custom D/F report logic.
  9. Re-run the D/F report.
  10. Document all corrections.
Best Practices

Follow these best practices to prevent dropped-section grades from appearing incorrectly on D/F reports.

  • Do not delete CC records unless the course enrollment itself is invalid.
  • Preserve valid enrollment history for classes the student actually attended.
  • Use accurate entry and exit dates when students drop or change sections.
  • Recalculate grades after schedule or gradebook corrections.
  • Review Historical Grades before and after grade storage.
  • Confirm the D/F report filters by enrollment dates.
  • Limit DDA access to trained SIS administrators.
  • Export records before making database-level changes.
  • Document all grade and schedule corrections.
Summary

If a dropped student appears on a D/F report with a Q4 grade, the issue may be caused by an incorrect enrollment exit date, an invalid current grade, an accidental stored grade, or report logic that does not filter by enrollment dates.

Do not delete the student’s CC record simply to remove the grade. CC represents the student’s course enrollment history.

First verify the schedule, gradebook, current grade source, stored grades, and report logic. Use DDA only as a controlled troubleshooting or cleanup tool after confirming the exact invalid record.
